Enhance your Workflow with Aero

Enhance your Workflow with Aero by Laura Redmond

Many businesses find success by improving their 3 P’s:  product, price and process.  Here we’ll dive into ways to optimize your accounting firm’s process by managing workflow with Aero.  Aero is a web-based app that staff access from their computer or smart phone browser.  Staff work from a prioritized list of assignments.  Each assignment provides a checklist of steps and resources.  This makes for effective workflow.

Workflow can be defined as a sequence of steps that make up a process for performing work.  We hear the word “workflow” often in today’s business environment.  In this article, we are referring specifically to an accounting firm’s workflow for service delivery.  Once you close a sale, the next part – the service delivery – is critical.  Not only does the firm want to deliver the superior services promised, but they want to make a profit on them.  Aero organizes workflow for the purpose of increasing productivity in your firm.  It is important that firms recognize the benefits of defining their services and identify what can make the delivery of these services more efficient.

The first step in enhancing your workflow is to take advantage of your firm’s knowledge capital.  This is the single biggest factor in making service-delivery efficient.  It is the responsibility of the firm to define their services – what they are selling and exactly how they will perform this work.  This is their knowledge capital, their secret sauce.  The firm will use this knowledge capital to create revenue.

Once services are defined, Aero helps firms organize the setup, performance, and tracking of the workflow in such a way as to transform their knowledge capital, staff, computers and apps…into profitable services.  It organizes the assignment of work to staff and clients at the proper interval to clearly inform every person in the firm exactly what they need to do and when they need to do it.  

Aero gives staff everything they need to perform their work efficiently, effectively, and consistently.  When staff log in, they see a list of tasks expected of them, ranked by priority, so that they know what they need to do, even when managers are unavailable. Each task provides resources at their fingertips, such as a step-by-step checklist and web links to apps and procedure guides for full explanations and print-screens.  Client information needed to perform work, such as a list of contacts, usernames and passwords, tax ID#, capitalization threshold, internal comments, and list of other scheduled work for the client is easily available in a secure, central location. Email is a big part of our daily workflow, so if you use gmail, then you can also pull your client’s emails into Aero. Imagine reading your email, having client resources at your fingertips, and recording time associated against it.

As staff perform their work, Aero’s timer is tracked automatically.  If paying hourly staff, they don’t have to punch a time clock in and out, their time is automatically recorded as they work.  If billing your clients hourly, Aero captures all time associated to work performed.  If using QBO, these time tracking entries are pushed to QBO, so you can pull them onto an invoice.  If value pricing, this helps you watch for scope creep and analyze the work effort against the income to determine whether this is a successful engagement

When work is not well-defined, staff may waste time trying to find their way or performing work that is out of scope of the agreement.  When necessary resources are not provided, staff may need to stop work to contact you or another, to find out a password, or some other information.  When staff can not access the central log of communication and activity between your firm and the client, staff may replicate already-performed work or spin their wheels trying to provide a team effort from a silo.

Staff is one of a firm’s greatest assets.  Firms need to manage staff availability and labor costs, but must also acknowledge that it is the responsibility of the firm to provide staff with clear work assignments.  Staff are trained, intelligent people that want to do great work.  They are often certified or experienced in the type of work you hired them for.  Staff don’t want to be micro-managed.  Constant supervision is difficult when you have staff working remotely; you can’t always look over at their desk and watch them.  You don’t want to interrupt them all day, because that will slow them down.   Aero Workflow gives staff the information they need to work autonomously.  This is a powerful effect that allows staff to take ownership of their work and makes for a happier workforce.

When the knowledge capital is defined and organized in a workflow management app like Aero, you can watch your firm at work.  With Aero workflow, you can proactively manage the firm and make adjustments and improvements, as needed.  Aero tracks all workflow across all staff and clients, client information, employee time, outstanding projects…so that you can analyze the information.

  • See what work is being performed at this minute
  • See if your staff deferred any work and determine whether you need to help solve a roadblock
  • See how much work is scheduled for staff or for clients
  • Bulk re-assign work to other staff when someone goes on vacation
  • Watch for bottlenecks and scope creep on value-pricing engagements
  • Know when you can take on more client work or when you need to hire more staff
  • Track the average time it takes to perform a particular service
  • Analyze work performed to determine whether it is profitable or not
  • See current and future work, making it easy to allocate firm resources ahead of time

Freeing yourself as a bottleneck and empowering your staff to do their work without interference allows you to focus on the bigger picture and position your firm for the future.

QBO Recent Improvements March 2016

Vendor List Split View

One of several improvements added by the Intuit QBO team is the vendor split view window. This feature creates a window for viewing vendors and their information much like the Vendor Center in desktop QuickBooks.

 

Above is the vendor list the way we have been used to seeing it. It appears the same now, but you will find the added capability when you select a particular vendor.

What changes is the little symbol in the upper left corner of the screen. Click on this symbol and you’ll see the new format.

Now, in the new view, we have our list of vendors down the left side of the window. To the right of that, information about the selected vendor is displayed. Note the circled areas.

The two tabs (not new but worth pointing out) in the view allow the QBO user to toggle between the list of recent vendor transactions, or detailed vendor contact information.

Remember that each time you access your vendor list from the menu, you will see the same arrangement you always have. Click on a vendor, then the split view becomes available. You can toggle between the new view and the old at will.

 

Change Home Currency

You can choose your home currency now in QBO. Navigate to Settings (the gear icon), then select Company Settings.

Choose the Advanced section on the left.

 

The list of available currencies is quite long. You can see from the screenshot the QBO user is selecting the South African Rand. Many more common currencies can be selected.

Note the new currency symbol now being displayed on the home page. You’ll find your numbers now using the new symbol on reports and screens throughout QBO.

It’s important to note that if multicurrency is turned on, you cannot change your home currency once it is selected. Part of the process of multicurrency is to choose one home currency. All other currencies added after that then relate to the home currency based on exchange rates.

Without the multicurrency feature on however, you can change the home currency using the above procedure.

The Bank Secrecy Act (BSA), P.L. 91-508, requires certain U.S. persons who have a financial interest in or signature authority over a foreign financial account to report the account annually to the Department of Treasury by electronically filing Financial Crimes Enforcement Network (FinCEN) Form 114, Report of Foreign Bank and Financial Accounts (commonly called FBAR), through FinCEN’s BSA E-Filing System. Financial accounts that must be reported include bank accounts, brokerage accounts, mutual funds, trusts, or other types of foreign financial accounts with balances that exceed certain thresholds.

Individuals who are required to file FBARs need expert advice to ensure proper compliance not only with the FBAR filing requirements, but possibly with other reporting requirements such as the Foreign Account Tax Compliance Act (FATCA), P.L. 111-147. FATCA requires filing Form 8938, Statement of Specified Foreign Financial Assets, with the federal income tax return, a separate requirement from the FBAR filing.

FBAR is not a tax return (and it isn’t filed with the IRS, unlike Form 8938)—it is an information report. It was designed, along with other reporting requirements such as FATCA, to deter tax evasion.

As discussed below, to assist U.S. taxpayers, the IRS has implemented streamlined filing compliance procedures to help those who have unreported foreign financial accounts to come into compliance.

 

WHO MUST FILE AN FBAR?

A U.S. person is required to file an FBAR if:

  • The person had a financial interest in or signature authority over (or any other authority over) at least one financial account located outside of the United States; and
  • The aggregate value of all foreign financial accounts exceeded $10,000 at any time during a calendar year.

For these purposes, U.S. persons include U.S. citizens; U.S. residents; entities, including but not limited to, corporations, partnerships, or limited liability companies, created or organized in the United States or under the laws of the United States; and trusts or estates formed under the laws of the United States. A child who falls under the FBAR filing criteria is not exempt from filing. If a child cannot file his or her own FBAR, a parent or guardian must file for him or her.

A person with “signature authority” is a person who can control the disbursement of money or other property in the account using his or her signature.

A person with “other authority over an account” is a person who can exercise power over an account by communicating directly, orally or otherwise, to the financial institution or other person maintaining the account.

A U.S. person has a financial interest in an account for which the U.S. person is the owner of record or has legal title, whether the account is maintained for his or her own benefit or the benefit of others, including non-U.S. persons.

A U.S. person also has a financial interest where the owner of record or holder of legal title of the account is any of the following:

  • A person acting on behalf of a U.S. person with respect to the account, including agents, nominees, and attorneys;
  • A corporation, foreign or domestic, in which the U.S. person owns (directly or indirectly) more than 50% of the total value or more than 50% of the voting power of all shares of stock;
  • A partnership, foreign or domestic, in which the U.S. person owns (directly or indirectly) an interest in more than 50% of the partnership’s profits or capital;
  • A trust in which the U.S. person is the grantor and has an ownership interest in the trust for U.S. federal tax purposes;
  • A trust, foreign or domestic, in which the U.S. person has a greater than 50% direct or indirect present beneficial interest in the trust’s assets or receives 50% of the trust’s income;
  • Any other entity in which the U.S. person owns (directly or indirectly) more than 50% of the voting power, total value of equity or assets, or profits interest.

 

EXCEPTIONS TO THE FILIING REQUIREMENTS

Certain U.S persons or foreign financial accounts are excluded from the FBAR reporting requirements. These include:

  • The spouse of an individual who files an FBAR is not required to file a separate FBAR if (1) all the financial accounts that the nonfiling spouse is required to report are jointly owned with the filing spouse; (2) the filing spouse reports the jointly owned accounts on a timely filed, electronically signed FBAR; and (3) the filers have completed and signed Form 114a, Record of Authorization to Electronically File FBARs (see discussion below);
  • U.S. persons that are entities included in a consolidated FBAR filed by a greater-than-50% owner;
  • Correspondent/nostro accounts (bank accounts established by banks solely for bank-to-bank settlements);
  • Foreign financial accounts owned by a U.S. governmental entity;
  • Foreign financial accounts owned by an international financial institution (if the U.S. government is a member);
  • Owners and beneficiaries of IRAs do not have to report foreign financial accounts held in an IRA;
  • Participants in and beneficiaries of tax-qualified retirement plans are not required to report a foreign financial account held by or on behalf of the retirement plan;
  • Individuals with signature authority over, but no financial interest in, a foreign financial account if the individual is an officer or employee of the entity that owns or maintains the account in certain situations (e.g., an officer or employee with signature authority over an account of a financial institution that is registered with and examined by the SEC or Commodity Futures Trading Commission);
  • Trust beneficiaries (but only if a U.S. person reports the account on an FBAR filed on behalf of the trust);
  • Financial accounts maintained on a U.S. military installation.

 

PENALTIES FOR NONCOMPLIANCE

Persons required by law to file an FBAR, and who fail to properly file a complete and correct one, may be subject to civil penalties for negligence, a pattern of negligence, nonwillful violations, and willful violations. When there is a violation, the IRS examiner will either issue Letter 3800, Warning Letter for Apparent Foreign Bank and Financial Accounts Report Violations, or determine a penalty based on the violation. The purpose of imposing penalties for violations is to encourage filing compliance. Each IRS examiner has discretion in determining the amount of the penalty, if any, taking into account the facts and circumstances of each case. FBAR penalties are determined per account, for each person required to file.

Negligence penalties

Two negligence penalties apply generally to all BSA provisions:

  • A negligence penalty up to $500 may be assessed against a business for any negligent violation of the BSA, including FBAR violations.
  • An additional penalty up to $50,000 may be assessed against a business for a pattern of negligent violations.

Generally, these two negligence penalties apply only to trades or businesses, not to individuals.

Nonwillful violations. A penalty, not to exceed $10,000, may be imposed on any person who violates or causes any violation of the FBAR filing and recordkeeping requirements that are not due to reasonable cause (Internal Revenue Manual (IRM) §4.26.16.6.4).

Willful violations. Persons who willfully fail to report an account may be subject to a penalty equal to the greater of $100,000 or 50% of the balance in the account at the time of the violation, for each violation, under 31 U.S.C. Section 5321(a)(5) (IRM §4.26.16.6.5). Willful violations may also be subject to criminal penalties under 31 U.S.C. Section 5322(b) or 18 U.S.C. Section 1001.

Mitigating factors such as natural disasters, emergencies, or other systemic issues may prevent a U.S. person from filing a timely FBAR. Financial institutions and individuals filing FBARs affected by these circumstances should contact FinCEN’s Regulatory Helpline at 800-949-2732 (703-905-3975 from outside the United States) to make FinCEN aware of their compliance concerns and to determine possible alternatives for timely reporting. FinCEN will work with financial institutions to develop necessary alternatives and to ensure that their primary federal regulator is informed of the situation and potential remedies.

The statute of limitation for FBAR civil penalties is six years from the date of the transaction with respect to which the penalty is assessed (31 U.S.C. §5321(b)). For purposes of the penalty for failing to file an FBAR, the IRS interprets “transaction” as the due date of the report. For a penalty for failing to maintain required records, it is the date the IRS first asks for the records.

 

REPORTING AND FILING INFORMATION

A U.S. person who holds a foreign financial account may have a reporting obligation, even if the account is not producing taxable income. The taxpayer’s reporting obligation would be met by filing an FBAR and answering the questions about foreign accounts on Form 1040, U.S. Individual Income Tax Return, Schedule B, Interest and Ordinary Dividends.

On Sept. 30, 2013, FinCEN announced that FBAR Form FinCEN 114 replaced Form TD 90-22.1 and could no longer be filed using a paper form, but only online using FinCEN’s BSA E-Filing System. The system allows the filer to enter the calendar year reported, including past years, on the online report. Taxpayers who are unable to file electronically should call FinCEN’s help line for alternative filing methods.

On July 29, 2013, FinCEN posted a notice on its website introducing a new report for filers who submit FBARs jointly with spouses or who wish to have a third-party preparer file on their behalf. The new Form 114a, Record of Authorization to Electronically File FBARs, is not submitted when filing an FBAR but instead is kept by the filer and the account owner, and must be made available to FinCEN or the IRS upon request.

For 2015 and earlier years, FBARs are or were due on or before June 30 following the calendar year reported, with no filing extensions allowed. Thus, the due date for an individual’s 2015 FBAR is June 30, 2016. However, the Surface Transportation and Veterans Health Care Choice Improvement Act of 2015, P.L.114-41, changed the standard FBAR due date to April 15 beginning with the 2016 calendar year report. In addition, for 2016 and later years, a six-month extension for filing FBARs is allowed.

A limited filing extension has also been granted to certain individuals who have filing obligations because they have signature authority over, but no financial interest in, foreign financial accounts of their employer or a closely related entity, through April 15, 2017 (FinCEN Notice 2015-1). This extension applies to the reporting of signature authority held during the 2015 calendar year, as well as all reporting deadlines extended by previous FinCEN Notices 2014-1, 2013-1, 2012-1, 2012-2, 2011-1, and 2011-2. For all other individuals with an FBAR filing obligation, the filing due date remains unchanged.

 

Recordkeeping

Those required to file an FBAR must retain financial records for five years, from the due date for filing the FBAR for the calendar year. These records must be available for inspection upon request. Records maintained should contain:

  • Name on each account;
  • Number or other account designation;
  • Name and address of the foreign bank or other person with whom the account is maintained;
  • Type of account; and
  • Maximum value of each account during the reporting period.

 

Valuation for reporting purposes

For reporting purposes, the U.S. person must disclose the maximum value of financial accounts maintained in a financial institution located in a foreign country. Valuation of these accounts can be determined using periodic account statements, which should be converted to U.S. dollars at the end of the calendar year, applying the official exchange rate for the last day of the calendar year. Filers can find the Treasury Reporting Rates of Exchange at fiscal.treasury.gov.

The maximum value of a financial account is the highest balance of both currency and nonmonetary assets that appear on any quarterly or more frequent account statement issued for the reporting year. For example, if the Dec. 31 balance is $15,500 but the July 31 ending balance in the same calendar year was $25,200, the maximum reportable value is $25,200. In the absence of periodic financial statements, the maximum value will be the largest amount of currency and nonmonetary assets in the account at any time during the year. For reporting purposes, all amounts are rounded up to the nearest whole dollar.

Persons who have financial interests in multiple foreign accounts (but fewer than 25 accounts) and who are unable to determine if the filing threshold has been met anytime during the year, should complete the appropriate Part II, III, IV, or V section for each of these accounts and check the “amount unknown” box, item 15a. Guidelines for persons with financial interests in 25 or more accounts are in the IRM (see IRM §§4.26.16.4.6 and 4.26.16.5.1). Filers with multiple reportable accounts must value each accountseparately.

 

Types of reportable foreign assets, Financial accounts include, but are not limited to:

  • Securities, brokerage, savings, demand, checking, deposit, time deposit, and other accounts maintained with a financial institution;
  • Commodity futures and options accounts;
  • Insurance policies with a cash value;
  • Annuity policies with a cash value; and
  • Shares in a mutual fund or similar pooled fund.

 

OFFSHORE VOLUNTARY DISCLOSURE PROGRAM

Effective July 1, 2014, the IRS modified the Offshore Voluntary Disclosure Program (OVDP) to make additional options available to U.S. taxpayers with undisclosed foreign financial assets. Since the launch of the first OVDP program, more than 45,000 taxpayers have come into voluntary compliance, paying an estimated $6.5 billion in taxes and penalties.

Modifications to the OVDP included:

  • Requiring additional information from taxpayers in their applications.
  • Eliminating penalties for certain taxpayers who committed nonwillful violations.
  • Requiring taxpayers to submit all account statements and pay the offshore penalty at the time they applied for the OVDP.
  • Requiring supporting information to be submitted electronically rather than by paper.
  • Increasing the offshore penalty percentage from 27.5% to 50%, if, before the taxpayer’s OVDP preclearance request is submitted, it becomes public that a financial institution where the taxpayer holds an account or another party facilitating the taxpayer’s offshore arrangement is under investigation by the IRS or U.S. Department of Justice.

 

Streamlined filing compliance procedures

The IRS announced on June 18, 2014, that streamlined filing compliance procedures would be changed to allow a wider population of U.S. taxpayers with unreported foreign accounts to qualify. Taxpayers living outside the United States continue to qualify, and, for the first time, some U.S. taxpayers residing in the United States qualify as well (see irs.gov).

Originally, the streamlined filing compliance procedures introduced on Sept. 1, 2012, were available only to nonresident U.S. taxpayers who failed to file required income tax returns. These taxpayers were subject to different degrees of review based on current tax liability and their response to a risk questionnaire.

The changes introduced in the streamlined procedures include:

  • Eliminating a requirement that the taxpayer have $1,500 or less of unpaid tax per year;
  • Eliminating the required risk questionnaire; and
  • Requiring the taxpayer to certify that previous failures to comply were due to nonwillful conduct.

All penalties will be waived for eligible U.S. taxpayers residing outside the United States. For eligible U.S. taxpayers residing in the United States, the only penalty will be a miscellaneous offshore penalty equal to 5% of the foreign financial assets that gave rise to the tax compliance issue.

 

FBAR relief separate from the streamlined procedures

Taxpayers who were required to file FBARs but failed to do so, and who are not under IRS civil examination or criminal investigation, should file the delinquent FBARs electronically through the BSA E-Filing System and include a statement explaining why the filings are late.

A penalty will not be imposed for failure to file delinquent FBARs if income from the foreign financial accounts reported on the delinquent FBARs is properly reported and taxes are paid, and the taxpayer has not previously been contacted regarding an income tax examination or a request for delinquent returns for the years for which the delinquent FBARs are submitted.

Eligibility criteria for the streamlined procedures

The new modified compliance procedures are designed only for individual taxpayers, which includes the taxpayer’s estate. Non-U.S. residents are subject to procedures referred to as “Streamlined Foreign Offshore Procedures,” while U.S. residents are subject to “Streamlined Domestic Offshore Procedures.” The criteria are:

  • Taxpayers must certify that their conduct was not willful. Both the foreign and domestic procedures require taxpayers to certify that the failure to report all income, pay all taxes, and submit all required returns, including the FBAR, was due to nonwillful conduct.
  • The IRS has not initiated a civil examination of the taxpayers’ returns for any tax year, and the taxpayers are not under IRS criminal investigation.
  • Taxpayers eligible to use streamlined procedures who have previously filed delinquent or amended returns (so-called quiet disclosures) must pay any penalties assessed on those filings.
  • Taxpayers who want to participate in the streamlined procedures need a valid taxpayer identification number (TIN). For U.S. citizens, resident aliens, and certain other individuals, the proper TIN is a valid Social Security number. Others need an individual taxpayer identification number, which, for taxpayers who do not have one, can be applied for when submitting the request to participate in the streamlined program.

These are the two forms that taxpayers who have foreign financial accounts or assets may have to submit. The FBAR has been around for many years as Form TD F 90.22.1 but has been replaced by FinCen Report 114 as of tax year 2013. It is submitted separately from the tax return.

 

Form 8938 has been in existence since tax year 2011, as part of the new FATCA legislation and is included in the tax return.

 

(Penalties for willful failure to file are potentially severe).

 

FinCEN Form 114:  Report of Foreign Bank and Financial Accounts (FBAR) 

Filing Requirements:  U.S. citizens, U.S. residents, trusts, estates, and domestic entities that have a financial interest in or signature authority over foreign financial accounts; and the aggregate value of the foreign accounts exceeds $10,000 at any time during the calendar year. 

 

If you have child with over $10,000 in foreign accounts, a separate FBAR will be required for your child even if you declare the account on your FBAR as custodian.

Financial interest: (1) you are the owner of record or holder of legal title or the owner of record; or (2) holder of legal title is your agent or representative; or (3) you have a sufficient interest in the entity that is the owner of record or holder of legal title.

 

Signature authority: you have authority to control the disposition of the assets in the account by direct communication with the financial institution maintaining the account.

Form 114 is separate from the tax return and can only be electronically filed. It is due June 30 of each calendar year.  If you and spouse own separate foreign accounts, you will each be required to file an FBAR. The value of any jointly owned accounts will be the entire value of the account on each spouse’s FBAR.  Form 114 Instructions.

 

 

Form 8938:  Statement of Specified Foreign Financial Assets

Form 8938 is included with the federal tax return and is only required if you meet the threshold and a tax return is required to be filed.

 

Value to Report of Jointly Owned Assets for Form 8938:

  • If you file a joint tax return, you must include the total value of all assets owned by you and spouse.
  • If you jointly own assets with a spouse and you each file a U.S. tax return as married-separate, then the value of your jointly owned assets is one-half each.
  • If you jointly own assets with a spouse who is non-resident (not required to file) and you file as married-separate or head of household, for reporting requirements, your value of the jointly owned assets is the total value of the assets.
  • If you jointly own assets with a non-spouse, for reporting requirements, your value of the jointly owned assets is the total value of the assets.

Reportable Accounts & Assets

Foreign accounts and assets include, but are not limited to, the following accounts open at some point in 2014.

  • Financial (deposit and custodial) accounts held at foreign financial institutions. This includes but is not limited to savings, checking, time deposits, and demand accounts. (FBAR & Form 8938).
  • Shares in a mutual fund or similar pooled fund that is available to the general public. (FBAR & Form 8938).
  • Foreign stock or securities held in a financial account at a foreign financial institution. This includes securities and brokerage accounts (including futures and options accounts).  The account itself is subject to reporting, but the contents of the account do not have to be separately reported. (FBAR & Form 8938).
  • Foreign accounts held by foreign or domestic grantor trust for which you are the grantor.  (FBAR & Form 8938).
  • Foreign-issued life insurance or annuity contract with a cash-value.  (FBAR & Form 8938).
  • An interest in a foreign retirement plan or deferred compensation plan. (If you require Form 8938, this will be listed as an asset).  (FBAR & Form 8938).
  • Financial account held at a foreign branch of a U.S. financial institution.  (FBAR only).
  • Foreign financial account for which you have signature authority (subject to exceptions).  (FBAR only).
  • Indirect interests in foreign financial assets through an entity if sufficient ownership or beneficial interest (i.e., a greater than 50 percent interest) in the entity.  (FBAR only).

Exceptions to Reporting:

You do not have to report any asset on Form 8938 if you report it on one or more of the following forms that you timely file with the IRS for the same tax year.

  • Form 3520, Annual Return To Report Transactions With Foreign Trusts and Receipt of Certain Foreign Gifts.
  • Form 5471, Information Return of U.S. Persons With Respect To Certain Foreign Corporations.
  • Form 8621, Information Return by a Shareholder of a Passive Foreign Investment Company or Qualified Electing Fund.
  • Form 8865, Return of U.S. Persons With Respect to Certain Foreign Partnerships.
  • Form 8891, U.S. Information Return for Beneficiaries of Certain Canadian Registered Retirement Plans.

Non-Reportable:

  • Financial account held at a U.S. branch of a foreign financial institution
  • Foreign real estate held directly (includes your personal residence and your rental properties)
  • Foreign real estate held through a foreign entity. However, for Form 8938, the foreign entity itself is a specified foreign financial asset and its maximum value includes the value of the real estate
  • Domestic mutual fund investing in foreign stocks and securities
  • Foreign currency held directly
  • Precious Metals held directly
  • Personal property, held directly, such as art, antiques, jewelry, cars and other collectibles
  • Social security, social insurance, or other similar program of a foreign government.

Inventory – QuickBooks Enterprise and Premier

Companies that work with inventory have unique needs. Tracking sales and quantities of specific products to sell adds a vast layer of complexity to accounting software. Fortunately, QuickBooks is built to deal with it. How well it deals with it depends on the level of QuickBooks product you use.

Today we’ll compare some of the differences commonly found when managing inventory in the basic level of QuickBooks Enterprise and QuickBooks Premier. QuickBooks Enterprise comes in several levels. Those levels affect the inventory management capabilities of the product. For now, we’ll stick with the lowest level.

First, let’s examine the inventory center.

Above is a screenshot of the inventory center in QuickBooks Premier. The circled area shows the cost and price information for the item that is selected in the list on the left-hand side.

Below is the screenshot of the inventory center in QuickBooks Enterprise.

Enterprise also shows the cost and price information for the selected item. However, in Enterprise that information is editable from right here. Furthermore, the desired margin or markup can be entered and QuickBooks will compute the new price on this screen.

To try that out, let’s change the margin on this Virus Vac A item to 40% rather than the current 50%.

Note that the price changed from $75 before at a 50% margin to $62.50 now reflecting the newly entered desired margin of 40%.

This capability facilitates rapid price changes based on a desired markup or margin. You can use either. The change is instantaneous. Enter margin or markup, whichever you prefer. Or, alternatively, enter the price directly and see the new effective margin or markup.

Besides the rapid price change advantage, this feature allows for experimentation with prices while taking little time to accomplish the comparisons. When one field is changed, the others update immediately.

Maybe you’d like to charge 9.95 for an item, but want to know what happens to the margin when you do. The inventory center in QuickBooks Enterprise works great for those kinds of ‘what-if’ scenarios.

A picture is worth…

Another difference in the inventory center in QuickBooks Enterprise is the ability to enter a picture.

 

All we need to do is to drag our image to the designated area and we’ll have an illustration of our product in QuickBooks.

Independent Contractor vs. Employee (How to decide?)

Most employers “prefer” to classify the people they pay for services performed for the business as INDEPENDENT CONTRACTORS to avoid paying payroll taxes, worker’s compensation, and/or some employee benefits they would have to otherwise pay of they classify them as employees instead.  It is also much easier to just pay them regular checks rather than paychecks with tax withholdings, etc… However, this is not really a choice or preference.  There are strict rules that most be followed in order to make sure this can be done.

Employers most prove (with evidence) that if they classify the person as Independent Contractor, they are truly independent and that the employer did not have control over the contractor/employee.  There are grouped into 3 categories:

  • Behavioral: Does the company control or have the right to control what the worker does and how the worker does his or her job?

    Behavioral control refers to facts that show whether there is a right to direct or control how the worker does the work. A worker is an employee when the business has the right to direct and control the worker. The business does not have to actually direct or control the way the work is done – as long as the employer has the right to direct and control the work.

    The behavioral control factors fall into the categories of:

    • Type of instructions given
    • Degree of instruction
    • Evaluation systems
    • Training

    Types of Instructions Given

    An employee is generally subject to the business’s instructions about when, where, and how to work. All of the following are examples of types of instructions about how to do work.

    • When and where to do the work.
    • What tools or equipment to use.
    • What workers to hire or to assist with the work.
    • Where to purchase supplies and services.
    • What work must be performed by a specified individual.
    • What order or sequence to follow when performing the work.

    Degree of Instruction

    Degree of Instruction means that the more detailed the instructions, the more control the business exercises over the worker. More detailed instructions indicate that the worker is an employee.  Less detailed instructions reflects less control, indicating that the worker is more likely an independent contractor.

    Note: The amount of instruction needed varies among different jobs. Even if no instructions are given, sufficient behavioral control may exist if the employer has the right to control how the work results are achieved. A business may lack the knowledge to instruct some highly specialized professionals; in other cases, the task may require little or no instruction. The key consideration is whether the business has retained the right to control the details of a worker’s performance or instead has given up that right.

    Evaluation System

    If an evaluation system measures the details of how the work is performed, then these factors would point to an employee.

    If the evaluation system measures just the end result, then this can point to either an independent contractor or an employee.

    Training

    If the business provides the worker with training on how to do the job, this indicates that the business wants the job done in a particular way.  This is strong evidence that the worker is an employee. Periodic or on-going training about procedures and methods is even stronger evidence of an employer-employee relationship. However, independent contractors ordinarily use their own methods.

  • Financial: Are the business aspects of the worker’s job controlled by the payer? (these include things like how worker is paid, whether expenses are reimbursed, who provides tools/supplies, etc.).

    Financial control refers to facts that show whether or not the business has the right to control the economic aspects of the worker’s job.

    The financial control factors fall into the categories of:

    • Significant investment
    • Unreimbursed expenses
    • Opportunity for profit or loss
    • Services available to the market
    • Method of payment

    Significant investment

    An independent contractor often has a significant investment in the equipment he or she uses in working for someone else.  However, in many occupations, such as construction, workers spend thousands of dollars on the tools and equipment they use and are still considered to be employees. There are no precise dollar limits that must be met in order to have a significant investment.  Furthermore, a significant investment is not necessary for independent contractor status as some types of work simply do not require large expenditures.

    Unreimbursed expenses

    Independent contractors are more likely to have unreimbursed expenses than are employees. Fixed ongoing costs that are incurred regardless of whether work is currently being performed are especially important. However, employees may also incur unreimbursed expenses in connection with the services that they perform for their business.

    Opportunity for profit or loss

    The opportunity to make a profit or loss is another important factor.  If a worker has a significant investment in the tools and equipment used and if the worker has unreimbursed expenses, the worker has a greater opportunity to lose money (i.e., their expenses will exceed their income from the work).  Having the possibility of incurring a loss indicates that the worker is an independent contractor.

    Services available to the market

    An independent contractor is generally free to seek out business opportunities. Independent contractors often advertise, maintain a visible business location, and are available to work in the relevant market.

    Method of payment

    An employee is generally guaranteed a regular wage amount for an hourly, weekly, or other period of time. This usually indicates that a worker is an employee, even when the wage or salary is supplemented by a commission. An independent contractor is usually paid by a flat fee for the job. However, it is common in some professions, such as law, to pay independent contractors hourly

  • Type of Relationship: Are there written contracts or employee type benefits (i.e. pension plan, insurance, vacation pay, etc.)? Will the relationship continue and is the work performed a key aspect of the business?

    Type of relationship refers to facts that show how the worker and business perceive their relationship to each other.

    The factors, for the type of relationship between two parties, generally fall into the categories of:

    • Written contracts
    • Employee benefits
    • Permanency of the relationship
    • Services provided as key activity of the business

    Written Contracts

    Although a contract may state that the worker is an employee or an independent contractor, this is not sufficient to determine the worker’s status.  The IRS is not required to follow a contract stating that the worker is an independent contractor, responsible for paying his or her own self employment tax.  How the parties work together determines whether the worker is an employee or an independent contractor.

    Employee Benefits

    Employee benefits include things like insurance, pension plans, paid vacation, sick days, and disability insurance.  Businesses generally do not grant these benefits to independent contractors.  However, the lack of these types of benefits does not necessarily mean the worker is an independent contractor.

    Permanency of the Relationship

    If you hire a worker with the expectation that the relationship will continue indefinitely, rather than for a specific project or period, this is generally considered evidence that the intent was to create an employer-employee relationship.

    Services Provided as Key Activity of the Business

    If a worker provides services that are a key aspect of the business, it is more likely that the business will have the right to direct and control his or her activities.  For example, if a law firm hires an attorney, it is likely that it will present the attorney’s work as its own and would have the right to control or direct that work.  This would indicate an employer-employee relationship.

There is no magic formula to figuring this our, but it is important to know is what the IRS uses to test the level of control and independence, which is the form SS-8

There are over 50 questions that the contractor has to answer, and based on those answers, the IRS may determine to reclassify the contractors to employees, which will cause BIG PENALTIES, consult your CPA or Tax Attorney if you are unsure.

Inventory – QuickBooks Pro vs. Premier

Last post we looked at a couple of the inventory features in the most basic level of QuickBooks Enterprise that were not available in QuickBooks Premier.

What about QuickBooks Premier over Pro? What advantages for the inventory-based business are gained by having Premier?

There are two mainly. Sales Orders and Assembly Items. Today, let’s look at sales orders.

Years ago, one of the major trouble spots in using QuickBooks for inventory management was the inability to track customer orders. If you experienced a situation where a portion of a customer’s order could not be shipped right away (and who hasn’t experienced that?), how did you track it?

There were only a couple of solutions. One, you could create the invoice as though you had sold the product and use a printed copy of that as the backorder record. Or, you could use some other system (paper and pencil?) outside of QuickBooks. Likewise with special orders.

The introduction of the sales order feature changed that.

It’s important to realize that a sales order is an informational form. It creates no accounting entry. You can create them, delete them, edit them, all without affecting your accounting numbers.

 

Again, this feature is only available in the Premier level of QuickBooks. You can see the preference settings in the screenshot above.

Once a sales order is created, you can invoice only part of it, leaving the remaining balance as a backorder for the customer.

Above is a completed sales order for a customer, Robert Allard. He owns a hardware store and is purchasing 50 brass hinges and 15 doorknobs. Let’s say we only have 30 brass hinges in stock and no doorknobs.

On the ribbon at the top of the sales order form is an icon to create an invoice. Choosing that option causes QuickBooks to open the following dialog box:

Do we want to create the invoice for all of the sales order or just part of it? In our case, we want to invoice only selected items.

The next screen in the QuickBooks sales order to invoice wizard allows us to select those items.

We change the number of brass hinges to invoice to 30 and Doorknobs to 0. The resulting invoice looks like this.

This clearly shows the customer that, while he ordered 50 brass hinges, only 30 have shipped. The remaining items are held as a backorder.
